Membership Terms & Conditions
Effective Date: [Insert Date]
These Terms & Conditions govern registration for membership in the Ethiopian Society of Chemical Engineers (ESChE) and the use of ESChE membership services, including the Digital Membership ID.
By submitting a membership registration, the applicant confirms that they have read, understood, and agreed to these Terms & Conditions.
1. Membership Registration
Applicants must provide accurate, complete, and current information during membership registration.
The information provided may include:
- Full legal name
- Contact information
- Personal photograph
- Academic or professional information
- Institution or organization information
- Other information required for the selected membership category
ESChE may request clarification or additional information where necessary to process an application.
2. Membership Categories
ESChE membership registration is organized into the membership categories made available through the registration system:
- Student
- Regular
- Institutional
The information requested during registration may differ depending on the selected membership category.
Applicants are responsible for selecting the membership category that accurately represents their intended membership.
3. Accuracy of Information
Members are responsible for ensuring that the information submitted to ESChE is accurate.
Providing false, misleading, fraudulent, or intentionally incomplete information may result in:
- Delay or rejection of an application;
- Request for additional verification;
- Suspension of membership; or
- Revocation of membership or membership credentials.
Members should notify ESChE when important membership information changes.
4. Photograph and Institution Logo
A valid image is required for the Digital Membership ID.
Student and Regular Members
Student and Regular members must provide a clear and appropriate personal photograph.
The photograph should:
- Clearly identify the member;
- Be reasonably recent;
- Be suitable for use on an official membership ID; and
- Not contain inappropriate or misleading content.
Institutional Members
Institutional members must upload the official logo of the institution or organization represented by the membership.
The uploaded logo should be an official representation of the institution and should be suitable for use on the Institutional Digital Membership ID.
ESChE may request a replacement image or logo if the submitted file is unsuitable for identification or Digital ID production.
5. Application Review and Approval
Submitting a registration does not automatically constitute membership approval.
ESChE may review the submitted information and supporting information before approving membership.
Where required, an application may remain pending until the applicant provides the necessary information or completes the required membership process.
ESChE reserves the right to request additional information where necessary to verify an application.
6. Membership Activation
Membership becomes active only after the applicable registration, verification, payment, and approval requirements have been completed.
The membership period is determined from the actual membership approval date according to ESChE’s membership system.
The membership period is recorded separately from the member’s permanent identity.
7. Membership Renewal
Membership is subject to renewal according to the applicable ESChE membership rules.
A renewal creates a new membership period while preserving the member’s existing membership history.
Renewal does not normally create a new member identity or a second Digital Membership ID.
Members may be required to provide updated information or evidence when submitting a renewal request.
8. Digital Membership ID
Approved members may receive a Digital Membership ID associated with their permanent ESChE member identity.
The Digital Membership ID may contain information such as:
- Member’s name
- Membership category
- ESChE Membership ID Number
- Institution or organization
- Department or relevant information
- Photograph or institutional logo
- Issue information
- QR verification code
The Digital Membership ID is intended to provide a convenient way to identify an ESChE member and verify membership status.
9. QR Code and Membership Verification
The QR code associated with a Digital Membership ID may direct users to an ESChE verification service.
The verification service may display information necessary to confirm the validity and current status of the membership.
A Digital Membership ID should not be considered evidence of active membership if the associated membership status is shown as expired, suspended, revoked, or otherwise inactive.
10. Use of the Digital Membership ID
Members must use their Digital Membership ID only for legitimate membership-related purposes.
Members must not:
- Alter or falsify the Digital Membership ID;
- Modify its QR code or verification information;
- Present another person’s Digital Membership ID as their own;
- Create unauthorized copies intended to misrepresent membership status; or
- Allow another person to use their membership credentials.
Unauthorized use may result in suspension or revocation of membership credentials.
11. Lost, Damaged, or Compromised Digital ID
Members should notify ESChE if their Digital Membership ID is lost, compromised, or suspected of unauthorized use.
ESChE may revoke or reissue the Digital Membership ID where necessary.
A replacement Digital ID may use a new verification token while maintaining the member’s permanent membership identity and historical membership records.
12. Membership Suspension or Revocation
ESChE may suspend or revoke membership or membership credentials where there is a legitimate basis, including:
- Fraudulent registration information;
- Misuse of membership credentials;
- Unauthorized use of another member’s identity;
- Falsification of membership documents;
- Serious violation of applicable ESChE rules; or
- Other circumstances requiring administrative action.
Where appropriate, the member may be contacted regarding the matter.
13. Fees and Payment
Where a membership fee applies, the applicable fee and payment instructions will be communicated through ESChE’s official membership process.
Applicants and members are responsible for submitting valid payment information and, where required, appropriate payment evidence.
Payment does not by itself guarantee membership approval.
Membership approval remains subject to the applicable ESChE verification and administrative process.
14. Personal Information
Information submitted during membership registration is used for purposes associated with ESChE membership administration and related services.
This may include:
- Processing membership applications;
- Maintaining membership records;
- Managing membership periods and renewals;
- Producing Digital Membership IDs;
- Verifying membership status;
- Communicating with members regarding membership matters; and
- Maintaining appropriate administrative records.
ESChE will handle membership information in accordance with its applicable privacy practices and requirements.
15. Member Responsibility
Members are responsible for:
- Providing accurate information;
- Keeping their membership information reasonably up to date;
- Protecting their account and membership credentials;
- Using their Digital Membership ID appropriately; and
- Following applicable ESChE rules and policies.
16. Changes to Membership Terms
ESChE may update these Terms & Conditions when necessary to reflect changes to its membership procedures, Digital Membership ID system, administrative processes, or applicable requirements.
Updated terms will be published through the official ESChE website.
Where appropriate, significant changes may be communicated to affected members.
17. Contact and Official Communication
Members should use ESChE’s official communication channels for questions concerning membership registration, membership status, renewal, Digital Membership IDs, or verification.
Applicants should rely on information published through official ESChE channels rather than unofficial instructions or third-party communications.
18. Acceptance of These Terms
By submitting a membership registration, the applicant confirms that:
- The information provided is accurate to the best of their knowledge;
- They understand that membership registration is subject to ESChE’s review and approval process;
- They agree to the applicable membership requirements; and
- They agree to these Terms & Conditions.
If an applicant does not agree to these Terms & Conditions, they should not submit the membership registration.
